The Payroll/Pension and 401k Coordinator will be primarily responsible for the preparation and coordination of all US payrolls and pensions administration along with associated regulatory submissions, returns and reporting requirements. The role will also provide HR administrative support and HRIS transactions to support the local HR Teams



Job responsibilities include:

Payroll
  • Coordinate and process payroll activities for all US pay groups (weekly, bi-weekly, semi-monthly, monthly) including year-end processing of fringe benefits and W2 reporting, ensuring all published and regulatory timetables are met.
  • To maintain all Associate payroll data (hires, promotions, position changes, personal information, family status changes, benefit changes, terminations etc) ensuring that data quality is delivered and consistent.
  • Ensure all payrolls are fully reconciled and to provide information/reports to key stakeholders and vendors.
  • Coordinate time tracking activities to ensure transition of accurate data for payrolls for relevant US pay groups.
  • To maintain payroll tax data for each legal entity.
  • To ensure the calculation of pay, regulatory deductions and company payroll policies are in accordance with government regulations.
  • To provide a professional service to Associates and third-party vendors.




401k and Pension
  • Responsible for the accurate administration of retirement plans ensuring appropriate records are maintained within regulatory timeframes ie year-end data collections, QDRO's, Death Asset Transfers, PBCG payments etc.
  • To prepare 401K contributions ensuring they are submitted within regulatory timeframes for all US pay groups ensuring that funding is accurate and reconciled between providers, payroll and Treasury.




Benefits
  • Responsible for the administration and maintaining of Health Savings Accounts plan for all pay groups ensuring returns are reconciled and submitted within required regulatory timeframes.
  • Administer relevant Health & Wellbeing claims and accounts.
  • To liaise with 3rd party benefits vendors to ensure accuracy of service.
  • To support US Compensation and Benefit Team to ensure data is accurate for the administration of US benefits.




HR Administration / HRIS Transactions
  • Maintain accurate Workday HR data including hires, promotions, position changes, personal information and family status changes, benefit changes, terminations etc. ensuring that data quality is consistent.
  • Process new hire paperwork and onboarding ensuring data and onboarding flows smoothly from recruitment from Day 1 of employment.
  • To support the HR or Recruitment teams to ensure the accurate recruitment process completion including arrangements of interviews and/or SHL assessments as required.
  • To carry out associated administrative and project duties and tasks allocated as required by the Global HRSS Lead or which are relevant to the role to support the HRSS function.
  • To ensure all transactions are Audit, EHS and SOX Compliant.




Candidate requirements:
  • Bachelor's Degree required or 3 to 5 years experience in Payroll or Pensions/401K experience and Administration
  • Ability to work independently as well as being a strong team player
  • Enthusiastic and constructive mindset with a willingness and ability to build and improve efficiencies
  • Computer literate with proficiency in Excel
  • Knowledge or Ceridian Payroll or Workday HCM Beneficia
